PURPOSE

Accountable for the provision of senior-level, efficient and effective personal secretarial services for the Legal Executive of Legal Aid SA.

KEY OUTPUTS AND ACCOUNTABILITIES

  • Provide office support services and uphold the office of the Legal Executive competently and professionally, including managing and maintaining:
    • Typing and distribution of documents.
    • Incoming and outgoing mail, email and telephone calls and electronic and manual filing system.
    • Procurement requirements and Petty Cash of the Legal Executive’s office.
    • Fixed assets register and office and infrastructure of the Legal Executive’s office.
  • Provide administrative support for the Legal Executive’s activity, meetings and travel, including:
    • Legal Executive’s diary and travel and accommodation arrangements of the Land Rights Management Unit.
    • Compile documents as required by the Legal Executive.
  • Arrange and manage meetings of the Legal Executive, including the taking of minutes as required.
  • Ensure that the Legal Executive’s interactions with Management and staff are managed professionally, including:
    • Liaising and interacting with all levels of Management and employees.
  • Maintain attendance registers, leave reconciliations, Executive compliance and other submissions from the Land Rights Management Unit.
  • Maintain confidential records as required.
  • Manage interactions with various stakeholders, including:
    • Liaising and interacting with all levels of Management and employees.
    • Managing interaction/correspondence from clients and external stakeholders.
  • Perform other related duties as required.

SKILLS AND KNOWLEDGE

  • Grade 12 plus a Secretarial Diploma.
  • A minimum of 5 years’ practical secretarial experience.
  • Experience that would assist the incumbent in driving a service excellence mindset and building relationships between the Legal Executive and Executives.
  • Basic financial and people skills are necessary.
  • In-depth knowledge of the core secretarial function and how to implement this within the Office of the Legal Executive: Land Rights Management Unit.
  • Functional ability in utilisation of electronic secretarial systems and technologies.
  • Able to create ‘functional integration’ between the Legal Executive and staff of the Unit.
  • Ability to implement best practice and work effectively with the Unit staff.
  • Able to partner with the Legal Executive to support the achievement of strategic objectives through effective secretarial support processes.
  • Computer literate (MS Package, et cetera).
  • Compiling minutes of meetings and professional report writing skills.

BASIC SALARY: R257,508.00 per annum plus benefits (Level 7)
